Appointment and calendar management for dietitians

PlateSight team · Last updated: Wednesday, October 7, 2026

A dietitian's week is often shaped around appointments. When the calendar is disorganized, empty hours, last-minute cancellations and the minutes spent arranging appointments by message add up. A good calendar setup directly affects both your income and client satisfaction.

Reducing missed appointments

Most clients who do not show up do so because they forgot the appointment. That is why reminders are the most effective measure. A short reminder sent the day before the session noticeably reduces the no-show rate. Letting the client reply “I'll come” or “I can't come” also lets you see an upcoming gap in advance.

An online booking page

A page where clients can see available times and send an appointment request removes the back-and-forth of arranging times by message. Seeing requests before approving them keeps you in control. Adding the link to your social media profile or website also makes it easier to win new clients.

Recurring sessions and calendar setup

  • Recurring appointments: Set up weekly or fortnightly follow-up sessions once.
  • Drag and drop: Moving an appointment to another time should take a single gesture.
  • Colors and types: Tell apart in-person, online and first sessions.
  • Buffer time: Leave short gaps between sessions for writing notes.

Syncing with your phone calendar

Seeing your appointments in your phone's calendar as well as in the panel removes the need to check a separate app during the day. Google Calendar, Apple Calendar and Outlook can show your appointments automatically by subscribing to a calendar address.

After the session: notes

The calendar should carry not only times but also the content of the session. Being able to go from the appointment straight to the session note, tying the note to that day's date and opening it at the next session saves time. Structured formats such as ADIME, SOAP, DAP and BIRP keep notes consistent.

Appointments and the calendar in PlateSight

In PlateSight's calendar you create and move appointments by dragging, and change their length by pulling the edge. It has recurring appointments, an automatic video call link for online sessions and a “coming / can't come” reply from the client in the app. Appointment reminders go out by e-mail and, on paid plans, also by SMS.

You approve requests from your online booking page in the calendar. You can see all your appointments by subscribing from your Google, Apple or Outlook calendar; your clients can also subscribe to their own appointments from their calendars. From the appointment window you go directly to the session note. For an online working setup, see our article on online dietetics, and for the whole panel, the dietitian page. You can see how the calendar, online booking and reminders work in PlateSight on our dietitian scheduling software page.

A short checklist

  • Are reminders turned on and are clients' contact details up to date?
  • Is the link to your online booking page in your profiles?
  • Are your cancellation and no-show terms in writing?
  • Have you set aside time for writing notes in your weekly calendar?
